1. Information We Collect

We collect the following types of information:

• Account Information: Email address, name, company name, trade type, phone number.
• Interaction Data: Phone call recordings and transcripts, SMS/text message content, email content processed by your AI swarms.
• Usage Data: How you interact with the TradeSwarm platform, feature usage, and performance metrics.
• Knowledge Base Data: Business information, pricing, service descriptions, and other content you upload for AI agent training.
• Payment Information: Processed securely through Stripe. We do not store credit card numbers.

2. How We Use Your Information

• To provide and improve the TradeSwarm service.
• To operate AI agents on your behalf (answering calls, sending texts, processing emails).
• To auto-label interactions for AI model improvement specific to your account.
• To generate vector embeddings for retrieval-augmented generation (RAG) to improve AI responses.
• To create anonymized, aggregated industry benchmarks that cannot identify individual businesses.
• To send service-related communications (account updates, security alerts).
• To process payments and manage subscriptions.

3. AI Data Processing

TradeSwarm uses artificial intelligence to process your business communications. This includes:

• Voice-to-text transcription of phone calls.
• Natural language processing for understanding customer requests.
• Automated labeling and categorization of interactions.
• Vector embedding generation for improved AI responses.
• Anomaly detection for security and quality assurance.

All AI processing is subject to our 7-layer safeguard system including constitutional AI constraints, input sanitization, output guardrails, and human-in-the-loop manager review.

4. Anonymized Benchmarks

We create anonymized, aggregated benchmark data from usage patterns across all TradeSwarm customers. This data:

• Is stripped of all personally identifiable information (PII).
• Cannot be reverse-engineered to identify individual businesses or their customers.
• May include aggregate statistics such as average jobs booked, response times, and revenue metrics by trade category.
• May be shared with other TradeSwarm customers for industry comparison.
• May be used in marketing materials and industry reports.

5. Telecommunications Privacy

In compliance with the TCPA and applicable state laws:

• Phone calls processed by AI agents may be recorded for quality assurance and service improvement.
• SMS messages are transmitted via Twilio and stored securely.
• Voice calls are processed via Vapi with encrypted transmission.
• Email communications are processed via Resend.
• All telecommunications data is encrypted in transit and at rest.

6. Data Sharing

We do not sell your personal data. We share data only with:

• Service Providers: Supabase (database), Stripe (payments), Twilio (SMS), Vapi (voice), Resend (email), xAI (AI processing).
• Legal Requirements: When required by law, subpoena, or court order.
• Business Transfers: In connection with a merger, acquisition, or sale of assets.

7. Data Security

We implement industry-standard security measures including encryption at rest and in transit, row-level security in our database, regular security audits, and access controls. However, no method of electronic storage is 100% secure.

8. Your Rights

You have the right to:

• Access and export all your data at any time.
• Request correction of inaccurate data.
• Request deletion of your data (subject to legal retention requirements).
• Opt out of anonymized benchmark data collection.
• Withdraw consent for AI processing (which may limit service functionality).

9. Data Retention

We retain your data for the duration of your account plus 30 days after termination. Anonymized benchmark data may be retained indefinitely. You may request earlier deletion by contacting us.
